How to send us your artwork & data

The easiest option is for us to take care of your design, data merging and printing for you. Our design service is free!

  • ​Just send us your logos and graphics in the highest quality possible in one of these file types: PNG, EPS, JPG, AI, INDD, PSD. We'll create a proof for your approval / feedback.

 

  • If you need special fonts and specific colour references please send them too.

  • To supply artwork created in Indesign: Set your artwork on the correct template. In InDesign, click FILE, from the dropdown menu, click "Package", ensure "Copy fonts" & "Copy linked graphics" are both checked, save, then right click the folder you've created, select "Compress to zip file" then attach it to your email.​

  • To supply artwork created in Canva, Illustrator, Photoshop or any other design programs: Please match the exact dimensions of the correct template (you can check these here) and include a 3mm bleed. Please also send all the graphics separately in a zipped folder. Share Canva files with office@hunteroperations.co.uk. Send files too large for email via Wetransfer.​

  • To send us your Canva artwork, click "Share", toggle the collaboration link to "Anyone with link", copy the link and send it to us. Please also send all the graphics separately in a zipped folder.

  • Send attendee data for us to print for you as a Microsoft Excel file or Google Sheet. Organise the data into columns (First name, Last name, Organisation, Position, etc.) in the order you would like to receive your badges (e.g. alphabetical by surname).​​​​​​​​​​​

  • If you need QR codes on your badges:

A) If it's the same QR code for everyone, just provide us with the link or send a QR code you have generated yourself.

B) For unique QR codes for each person, just include the links in the spreadsheet in a separate column alongside the names and we'll generate the QR codes for you.

Common printing issues and how to solve them

  • Can't find what you need?
    See our full FAQs page or get in touch at office@hunteroperations.co.uk.
  • What are branded spares? And how do I print them?
    We can print badges with background logos and artwork, but with no names. You can then print the names, titles, organisations etc when you're ready. To print branded spares, just select the correct template. You can then type names in or carry out a data merge by following our instructions.
  • Why are my badges printing at the wrong size?
    If you're badges are not printing in the correct positions on your paper stock, try the following: - Double check you have selected the correct template for your badge artwork. - Ensure no scaling is being applied to your artwork when sending it to print. It needs to be at "actual size". - Try creating your artwork as a PDF and test printing. Ensure the scale is set to "actual size". To convert a MS Word doc to a PDF, just "save as" and select the PDF file type.
  • Can you print my badges for me?
    Of course. Just send your artwork and spreadsheet of attendee data to office@hunteroperations.co.uk. We'll reply with a proof and quote. Turnaround times are: - Eco-Friendly Card Badges & Badge Holders: 3 working days - Eco-Friendly Seed Badges & Biodegradable ID Cards : 5 working days - Eco-Friendly Event Passes: 8 working days
  • Which printer settings should I use?
    Print quality should be set to the highest quality / resolution setting. Any scaling should be turned off so the badges print at "actual size". Eco-Friendly 100% Card Badges We recommend using a laser printer. However inkjet printers are also okay for printing these badges. Settings vary from printer to printer. Try to follow these instructions as closely as possible with your printer. It is important to select the "media type" or "paper type" as thick card or card stock on your printer. You must select the heaviest weight setting. This will avoid jams and also smudging. Our eco- friendly butterfly badges come as 246 GSM A4 sheets for printing (190 GSM with a 56 GSM backing). We recommend using a printer rated with a maximum media thickness of 250 GSM or higher. Insert Paper for Badge Holders Both inkjet and laser printers work. This paper is approximately 135 GSM thickness.
  • Can you recommend a printer for my badges?

  • What are the Eco Friendly ID Cards & Event Passes made from?
    Our ID cards are made from biodegradable "Bio PVC" resin. They are durable and will last a long time in use but when introduced to compost they will biodegrade completely in approximately 1-5 years.
  • How do I order samples of your products?
    To request free samples or our products please email us at office@hunteroperations.co.uk, or fill in our contact form. Please provide the full delivery address for samples and any specific requirements. We can send any non-bulky items including our name badges, lanyards, printed badges, badge card inserts, conference badges, etc.
  • Do I need to set up an account to place an order?
    No, you don't need to have an account with us to order. Once we receive your confirmation, we'll send the order out and send a digital invoice by email.
  • How do I place an order or request a quote?
    You can place an order or request a quote by sending us an email at office@hunteroperations.co.uk, or fill in our contact form. You can give us a call on +44 (0) 117 233 8966 if you have any questions about our products and print / production services. Please just let us know which products you want (or if you want advice on this), the quantity needed, the required delivery date, and full delivery address. Our team will get back to you quickly to assist you.
  • How do I pay for my order?
    Once your order is confirmed we'll send you an invoice via email. Please either click the link at the bottom of your invoice to pay by card online, or please transfer the payment in due course (with standard invoice terms).
  • Can I return my items?
    Returns are accepted within 30 days of you order date. Returns can only be accepted if the items haven't been used.
  • How much does shipping cost?
    Standard shipping within the UK and NI costs £10 per parcel (up to 20kg). Shipping outside UK mainland and NI is charged at cost. Please provide a full delivery address and we'll send an accurate quote for shipping.
  • When is your order cut off time?
    Orders placed before 1pm will be sent out by next working day delivery service (if printing turnaround times do not apply).
  • How long will delivery take?
    UK mainland orders are despatched using DPD 24 hour next working day tracked delivery service. For orders outside UK, mainland. We'll advise on estimated delivery times.
  • How and when should I supply data for badge printing?
    Please send your attendee name badge data (names, job titles, etc.) as an Excel spreadsheet with clearly labelled columns and let us know of any specific requirements such as delegate groups, variable designs, QR codes, etc. For guaranteed delivery by your deadline we need the spreadsheet of attendee data to be sent to us 3 working days before your required delivery date.
  • Can I print my own badges?
    Yes! We supply plain badge paper for our range of badges which you can print on yourself. You can find design templates and instructions on on printing and data merging here on our website.
  • Can I merge my own data to print badges?
    Yes, you can merge your own data using our word templates. Links for templates to eco badges can be found here. Templates for insert sheet paper can be found here.
  • Can I use a regular printer?
    You can print onto our badges using most printers. To ensure the printer doesn’t jam please make sure you are using the thickest media type/paper weight settings. More information and guidance can be found here.
  • What is the turnaround time for printed badges?
    Once the proof is approved and the data has been delivered, the turnaround time for printed badges is 3 working days.
  • Can you print my badges?
    Yes! We offer flexible badge printing options to suit your needs and budget, printing your graphics and names on our range of badges. Just get in touch and we can send samples, prepare quotes and design proofs for you.
  • Do you have templates and guidance for printing my own badges?
    You can download a template for any of our badges by selecting the badge type from our badge page and downloading either the InDesign or the Word template here on our website.
  • How should I supply artwork for badge printing?
    Please send artwork as a packaged InDesign file using our templates from the website. Alternatively please send your logos / graphics in high resolution formats (EPS, AI, PNG) and design specifications to us by email and we can send a proof for your approval / feedback.
  • What is RPET material?
    We supply RPET lanyards and wristbands. RPET is a recycled PET (polyethylene terephthalate) plastic. PET or polyethylene terephthalate, a form of polyester plastic resin that is commonly used to package soft drinks, water and many other products which can be recycled many times to make many new products including T-shirts and conference ID supplies such as our lanyards and wristbands. Check if your plastic recycling can accept polyester or if you need to take them to a special polyester recycling drop off point.
  • What is Bio-Plastic?
    Our credit card sized ID card holders are made from biodegradable bio-plastic. Bio-plastic is 100% Biodegradable in the correct conditions. Check if your local recycling facility accepts bio-plastics for biodegrading.
  • How can I recycle your products?
    Eco Card Badges: Our standard eco card badges are suitable for regular paper recycling. Plastic badge holders: Most of our plastic badge holders (bh1, bh2, etc.) are recycled and recyclable. These can go in regular plastic recycling. Note: Our Pin & Clip/ Magnetic badge holders are not yet recyclable. Bamboo Lanyards: Our bamboo lanyards are biodegradable and can be sent to a commercial composting facility. RPET Lanyards and Wristbands: These can be recycled by removing the plastic clips and the metal hook, then you can put it in regular plastic recycling.
  • What is Bamboo fabric?
    Our bamboo lanyards are made from natural, fully biodegradable, and sustainable bamboo fibres. Bamboo plants are environmentally friendly. Bamboo fabric is fully biodegradable as well as being antimicrobial. The manufacturing process produces a far smaller carbon footprint than cotton.
  • What is FSC Certified Card?
    The FSC certification is a mark of responsible forestry. FSC (Forest Stewardship Council) forest management certification confirms that the forest that supplies wood and paper is being managed in a way that preserves biological diversity and benefits the lives of local people and workers, while ensuring it sustains economic viability. FSC-certified forests are managed to strict environmental, social and economic standards.
  • What is FSC Certified Card?
    The FSC certification is a mark of responsible forestry.   • What are the Eco Card Badges made from? Can they be recycled?
    Our Eco Card Badges are made from recyclable FSC certified paper. They can be recycled in regular paper recycling streams (including the backing paper due its low silicon content).
  • How is the seed paper eco-friendly?
    - Our eco-friendly seed paper is made from 100% recycled paper in the UK. - Zero harmful chemicals are used in the production process. - The paper is completely biodegradable. - Wildflower seed mix germinates in 7-10 days. Great for wildlife and biodiverse gardens. - Seed mix includes: Birdsfoot Trefoil, Black Knapeweed, Black Medick, Common Vetch, Meadow Buttercup, Musk Mallow, Ox-Eye Daisy, Ribwort Plantain, Red Campion, Salad Burnet, Self Heal, White Campion, Yarrow, and a mix of native grasses.
  • How should I plant the seed paper?
    Soak the paper and tear into small pieces Cover with a thin layer of soil Keep moist during germination but not waterlogged Make sure they get lots of sunlight Wait for germination. Approximately 7-10 days
  • What are your Name Badge Holders made from? How can they be recycled?
    Our Name Badge Holders are made from recycled and recyclable PVC clear vinyl. They can go into soft plastics for recycling.
  • What material are Pin & Clip badge holders made from?
    Pin & Clip badge holders are made from durable PVC material so they can be reused again and again by printing new inserts when required.
  • What is the turnaround time for printed lanyards?
    Once the proof is approved, our standard production time for producing and delivering printed lanyards is 10 working days. We can occasionally turn them around faster than this however it will require using a slightly more expensive UK based supplier.
  • Can you print my lanyards?
    Yes! We can print lanyards with custom artwork, logos and colours, and with a range of materials. You can view them here
  • How should I supply artwork for lanyard printing?
    Please send your logos/graphics and design specifications to us via email and we can send a proof for your approval.
  • Where can I find print templates and guidance?
    You can view and download our templates on this product page.
  • What are the wristbands made of? How can I recycle them?
    Our paper wristbands are made from FSC paper. They are fully biodegradable and can be widely recycled using regular paper recycling methods. Our RPET wristbands are polyester made from recycled plastic. Check if your plastic recycling can accept polyester or if you need to take them to a special polyester recycling drop off point.
  • Can I print QR codes?
    You can print QR codes on our wristbands, just send them to us when you send through your logos and we will add it to the design for you. Or you can send us a website URL and we can create a QR code for you.
  • How much does delivery cost and how long does it take?
    For UK mainland delivery we send our parcels via next working day delivery, this costs per parcel £10 as standard. For delivery outside of the UK mainland please get in touch and we'll provide a delivery price at cost with estimated time frames.
  • How should I supply artwork?
    Please send high resolution individual items of artwork in one of these formats & we'll send a pdf proof. (.jpg, .png, .indd, .ai, .eps). We'll design a proof for your approval (free of charge).
  • Are magnetic badge holders safe to use if I have medical devices?
    WARNING: Magnetic fittings should not be used if the wearer has any sensitive medical devices. Magnetic fittings may cause interference with artificial pacemakers. Please ensure this will not affect your wearers before ordering.
  • How eco-friendly is this product?
    Our magnetic badge holders are not made of eco-friendly materials at this moment in time. However they are durable and suitable for re-use with new insert paper if collected at the end of your event.
